This Privacy Policy explains how Promptly (“Promptly,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with our messaging and communications platform (the “Service”). This policy applies to the businesses that use Promptly (“Customers”) and to the individuals those businesses communicate with (“End Users” or “recipients”). By using the Service, you agree to the practices described below.

Information We Collect

Account & Business Information. When a business signs up for Promptly, we collect information such as the business name, office type, admin name, email address, and billing information needed to set up and pay for the Service.

Text Messaging & Call Information. To provide the Service, we process the phone numbers, message content, and call/voicemail data (including recordings and transcriptions) exchanged between our Customers and their end users, along with opt-in and consent status where applicable.

Usage Data. We collect limited technical information — such as IP address, browser type, and general usage patterns — to operate, secure, and improve the Service.

How We Use Information

We use the information described above to:

  • Provide, operate, and maintain the Service, including delivering text messages, calls, and voicemail transcriptions;
  • Set up and manage Customer accounts and process billing;
  • Provide customer support and respond to inquiries;
  • Monitor, secure, and improve the Service, including detecting fraud or abuse; and
  • Comply with legal obligations and enforce our Terms of Service.

SMS/Text Messaging Program, Consent & Your Choices

Promptly is a messaging platform that businesses use to send conversational, transactional, and customer-care text messages to their own customers and patients — for example, missed-call follow-ups, appointment scheduling and reminders, and review requests. When a recipient opts in, they agree to receive recurring text messages from the business they are communicating with. Message frequency varies. Message and data rates may apply.

Recipients can opt out at any time by replying STOP to any message, and can reply HELP for assistance or contact the business they are messaging with directly. Businesses using Promptly are solely responsible for obtaining proper consent from their recipients before sending them text messages.

We do not share, sell, rent, or otherwise provide your mobile phone number, SMS opt-in, or messaging consent information to any third parties or affiliates for marketing or promotional purposes. No mobile information is shared with third parties or affiliates for marketing or promotional purposes. This information is only ever handled by the business you are communicating with and by the service providers that operate the messaging platform on our behalf (such as our SMS and voice delivery provider), strictly to deliver the Service and never for their own marketing. We may disclose information solely where required to comply with applicable law.

How We Share Information

We do not sell your personal information, and we never share mobile phone numbers, SMS opt-in, or messaging consent data with any third parties or affiliates for marketing or promotional purposes. We share information only in the following limited circumstances, none of which involve sharing your data for third-party or affiliate marketing:

  • Service Providers. We use trusted vendors to operate the Service, including Twilio for SMS/voice delivery, Stripe for payment processing, and Resend for transactional email. These providers may use information only as necessary to provide their services to us, and are contractually prohibited from using it for their own marketing or promotional purposes.
  • Legal Compliance. We may disclose information if required by law, subpoena, or other legal process, or to protect the rights, property, or safety of Promptly, our Customers, or others.
  • Business Transfers. If Promptly is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction; any successor will remain bound by the commitments in this policy, including the commitment not to share mobile information or messaging consent for marketing or promotional purposes.

Data Retention

We retain information for as long as needed to provide the Service and for legitimate business purposes, such as maintaining conversation history for our Customers, complying with legal obligations, resolving disputes, and enforcing our agreements.

Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect information against unauthorized access, disclosure, alteration, or destruction. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Your Choices & Rights

End users may opt out of text messages at any time by replying STOP. Individuals may request access to, or deletion of, their personal information by contacting us at the email below; we will respond consistent with applicable law. Business Customers can access and manage most of their account information directly within the Promptly platform.

Children's Privacy

The Service is intended for use by businesses and their adult customers. Promptly is not directed to children, and we do not knowingly collect personal information from children under 13.

Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the “Last updated” date above. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
